The Contact Record Is the Wrong Object

Most systems sold to local businesses are built around a person: a name, an email, a deal stage, a next action. Drop a tire shop into that shape and it collapses immediately, because the thing that generates the next sale is not the person. It is the car. One household can hold three vehicles on three different wear clocks. A person who bought a set for a Camry in 2023 is not a lead in 2026 because of who they are; they are a lead because that Camry has done sixty thousand miles. And a fleet is one contact attached to fourteen wear clocks. This is the field that makes the whole system worth building, and virtually every shop in the country throws it away. A new all-season starts at roughly 10/32 or 11/32 of an inch. Legal minimum is 2/32. Wet-weather stopping distance falls off badly below 4/32, which is the honest number to counsel from rather than the legal one. Tread wears at a rate that can be estimated from the last two measurements and the odometer between them. So a car that read 5/32 at a rotation in March, on a driver doing twelve thousand miles a year, is a car with a knowable replacement window — and the shop that took the measurement knows the vehicle, the fitment, the price it quoted last time and the name of the person who will be paying. That is not a lead. That is a scheduled sale waiting on a date. And in the overwhelming majority of shops the tread depth gets written in ballpoint on a paper inspection sheet, handed to the customer, and thrown in the footwell on the way out of the lot. Capturing it as a structured, dated, per-position number against the vehicle record converts a routine rotation into a forecast, and it is the reason the CRM conversation in this trade is a revenue conversation rather than an administrative one. Per-position matters, incidentally. Two millimeters of difference between the inner and outer edge of the same tire is not a wear rate. It is an alignment finding, and it belongs in the record as one.

The Declined-Service Record Is the Second Most Valuable Field

A customer buys nine hundred dollars of tires and declines the alignment. Eleven months later the set is feathered on the inside shoulders and half gone, and the customer is at the counter, angry, certain the shop sold them bad tires. The shop that logged the decline — with the alignment reading attached, the date, the price quoted and the fact that it was refused — is having a two-minute conversation. The shop that did not is having an unwinnable argument that ends in a one-star review. Skipping alignment after new tires can genuinely halve their life; misalignment wears tread ten to thirty percent faster. That is true and it is provable, but only from a record made at the time. A decline is also the highest-intent follow-up target in the database. Somebody who was told their toe was out of spec and said not today is not a cold contact. They are a warm one with a defined objection, a known price and a car that is currently wearing itself out. A sequence written to that person converts at a rate no generic promotional blast will ever approach, and it converts by being useful rather than by discounting anything.

Score on Attach Rate, Not on Tire Units

Here is the metric inversion that decides whether the system is worth having. Nearly every tire shop dashboard reports units sold. That number is very close to meaningless, because the tire is where the margin is thinnest and it is the one line the customer has already priced. What should be on the front page of the report is attach rate and out-the-door ticket. Alignment attach on new sets, as a percentage. TPMS service attach. Road hazard attach. Lifetime alignment package sales, at $180 to $250, which pay for themselves on a customer's second visit and lock a return trip in the process. Average out-the-door ticket, which is where install-and-align at $150 to $400 on top of the tires actually shows up, and where an ADAS recalibration at $300 to $700 lands when it lands. A campaign that produced forty sets at a five percent alignment attach did worse for the business than one that produced twenty-five sets with alignment on two-thirds of them, and a unit-count dashboard will report the first as the winner. Building the tire shop CRM so that attach rate is the default view, sliceable by service writer and by bay, is the single change that most reliably moves gross profit in this trade — because it makes visible the thing the owner is actually being paid on.

Where the Data Comes From Without Anyone Typing It Twice

A system that depends on a service writer keying in numbers after a busy Saturday will be empty within a month. The capture has to happen where the measurement happens. The tread reading comes off a digital gauge or a digital vehicle inspection on a tablet, per position, timestamped to the visit. The alignment reading comes off the rack, which already prints toe, camber and caster against spec and can export rather than only print. The fitment comes from the VIN or the plate lookup, not from a dropdown someone guesses at. The invoice and the declines come from the point-of-sale, and the mileage comes from the work order. Every one of those exists already in a working shop. What is missing is not the data; it is the plumbing that lands it against a vehicle record instead of a receipt. Once it lands there, the useful views build themselves: vehicles whose last tread depth reading was under 4/32 with no quote outstanding, quotes over thirty days old with no booking, sets sold in the last two years with no alignment attached, and fleet vehicles approaching replacement before the next contract renewal.
